Policies

Office Policies

Glowen Wellness maintains office policies to support clear communication, reliable scheduling, and a respectful treatment relationship.

The information below is a summary of several commonly relevant policies. Complete practice policies and consent documents will be provided through the secure patient portal before establishing care.

Appointments

  • For telehealth appointments, you must be physically located in a state where your provider is authorized to practice at the time of the visit.
  • Telehealth appointments are conducted by secure video. Please join from a private location with a reliable internet connection and functioning camera and microphone.
  • Follow-up appointments should be scheduled at intervals recommended by your provider to support safe and effective treatment.
  • Appointments cancelled or rescheduled with less than 48 hours’ notice may be subject to a late-cancellation fee.
  • Missed appointments may also be subject to a fee. These charges are generally not covered by insurance.

Payment & Card on File

A valid credit or debit card may be required to remain on file for applicable patient balances and fees.

Depending on your financial agreement, the card on file may be used for amounts including:

  • Copays, coinsurance, or deductibles
  • Outstanding patient balances
  • Late-cancellation or missed-appointment fees
  • Past-due balances

Any applicable payment policies and authorization will be reviewed before care is established.

Maintaining Active Treatment

Regular follow-up is an important part of safe psychiatric care, particularly when medications are prescribed.

Unless otherwise discussed with your provider, patients who have not attended an appointment within the required follow-up period may be considered inactive and may need to schedule an appointment before additional medication refills can be provided.

Ending or Discontinuing Care

Treatment may be discontinued when continued care is no longer clinically appropriate or when practice policies cannot be maintained. Examples may include repeated missed appointments, significant unpaid balances, threatening or abusive behavior, or inability to participate safely in the treatment plan.

When clinically appropriate, Glowen Wellness will provide information regarding next steps, referrals, or other options for continuing care.

Patients who previously discontinued treatment may contact the practice to ask about re-establishing care. Acceptance back into the practice will depend on clinical appropriateness and current availability.
